Policies, Procedures and Bylaws

CYSA has created a set of policies and procedures to be used for recreational and competitive softball. CYSA's goal is to provide a structured, enjoyable and learned softball experience for all participants.

These documents are considered "living" documents and CYSA welcomes any comments or suggestions. Comments can be emailed to President@cysafastpitch.com or mailed to:

Disclaimer: CYSA reserves the right to deviate from the policies and procedures if the CYSA Board of Directors (Board) determines it is in the best interest of the program to do so.

Eligibility

CYSA operates under the District 112 boundaries for players that reside in the Chaska High School attendance area. Exceptions to this guideline include:

  1. Players who reside outside of the Chaska High School area but are enrolled at a school within the Chaska High School attendance area. ie. players in private schools, open enrollment or a transfer student.
  2. A player is also eligible for CYSA if a parent or guardian resides within the Chaska High School attendance area.

Grievance Policy

When a player of parent has a concern with a coach the following steps should be followed to resolve the issue:

  1. Address the concern with the coaching staff. If you are not comfortable communicating with the coach the issue should be brought to the attention of the Traveling Director or CYSA President.
  2. If the problem persists after having discussed with the coaching staff then the issue should be brought to the attention of the Traveling Director or CYSA President.
  3. The Traveling Director and CYSA President will discuss the issue and if needed the issue will be brought to the Board for discussion. The decision of the Board will be final.

Refund Policy

The refund policy for K/1/2, Travel and Community League teams is as follows:

  • 100% of all fees paid (less $15 processing fee) will be returned for any reason up to and including the day of tryouts.
  • After tryouts and up to the date of Game #5 of the season 50% (less $15 processing fee) will be returned for the reason of injury or family relocation ONLY. The cost of the uniform or shirt will not be included in the reimbursement.
  • No refunds will be granted on the date of Game #5 of the season or after for any reason.

Volunteer Policy

CYSA depends on its volunteers to run the K/1/2, Community and Traveling leagues. Without the support of the parents and the volunteer board members, CYSA would not exist. Any support parents can give throughout the year is greatly appreciated.

 

Volunteer Fees* (if volunteer hours have not been fulfilled):

$150.00 for Chaska K/1/2 & Community Softball Leagues.

$250.00 for Chaska Traveling Softball League.

$400.00 total for families with 2 or more daughters in the Chaska Youth Softball Association.

* The volunteer fee will be billed to accounts used for registration on August 31st ONLY if the volunteer hours have not been fulfilled.

Volunteer Requirements:

Families are required to complete 6 hours of volunteer time – families with 2 or more daughters in the CYSA program are required to complete 9 hours of volunteer time per family. 9 hours of volunteer time must be completed to receive your refund. 

Partial refunds will not be provided for partial completion of volunteer time.

Your child will not be placed on a team if you do not agree to the volunteer fee billing policy in the registration session.

Volunteer Opportunities:

These volunteer hours are intended to serve the entire CYSA

organization. Volunteer opportunities will be posted on the CYSA website under the DIBS tab. DIBS also allows parents to sign-up for events and helps CYSA to keep track of these volunteer hours to cancel volunteer fee charges.

Volunteer hour exemptions (Up to 9 Hours):

• Board Members

• 1 Head Coach/team

• 1 Assistant Coach/team*

• 1 Team Manager

Duties that WILL count toward volunteer hours:

• CYSA hosted tournaments

• Fundraising opportunities when volunteer credits offered

Duties that WILL NOT count toward volunteer hours:

• Helping coach bases

• Keeping the scorebook

• Helping at a practice(s)
